About The Role
Right now, we are looking for an Operations Specialist to join our internal operations team. In this role, you’ll be responsible for executing and supporting key business and people operations tasks across systems, tools, and processes. This is a key position within our internal operations team where you will enable the rest of the business to thrive as we scale.
As an Operations Specialist, you’ll be helping us optimize and execute systems that impact everything from invoicing to data management and client satisfaction. You’ll work across various internal functions, including People Operations, Sales, Finance, and Data Engineering, ensuring that our operational systems run efficiently, data is managed correctly, and projects stay on track.
Although you’ll start by executing and supporting our core operational functions, as Amby grows, you will have opportunities to take on greater ownership of processes and systems. You’ll work alongside our Head of People, VP of Operations, and Data Engineer.
What You Will Do
- Manage internal operations: Ensure accuracy and efficiency of internal operations processes, monitoring and managing them to reduce errors.
- Execute day-to-day business operations: Take responsibility for ongoing and ad-hoc operations tasks, ensuring a smooth operation of the business.
- Prepare monthly reports on key metrics: Ensure accurate forecasting and reporting of numbers and share insights with the management team.
- Manage and optimize internal tools: Support the management of Amby's suite of internal tools, collaborating with consultants and internal teams to ensure systems are up-to-date, effective, and aligned with operational needs.
- Support system integration and continuous improvement: Ensure smooth integration between core systems and tools, maintaining data consistency and supporting the development and enhancement of internally built tools.
- Data quality assurance: Monitor and quality-assure data entry across core systems to ensure accurate and correct data entries. Conduct regular audits and correct data to maintain high data integrity.
- Support people operations: Assist with managing employee contracts and documentation, maintaining the employee handbook, supporting onboarding and offboarding processes, and managing equipment/inventory.
You will also act as an internal support resource for our consultants, helping them succeed in their projects and ensuring they have what they need to deliver on client expectations. You will assist when needed, resolve operational issues, and enable consultants with the tools and support they need to succeed.
What We Are Looking For
While we value experience, we’re hiring for potential and passion for this role. What’s most important is your drive to learn, your motivation to improve, and your ability to take ownership of tasks in a fast-paced environment. We’re not looking for a senior expert, this role is about developing your skills while making a tangible impact on our operations.
You should be someone who thrives in a collaborative, yet independent environment. You understand the importance of attention to detail, can structure your work effectively, and know how to communicate clearly and professionally. You’re comfortable with managing your own time and responsibilities, and you’re eager to contribute to the success of the team, no matter how big or small the task may seem.
On the hard skills side of things, we are looking for someone who:
- Has a Bachelor's or Master's degree in a relevant field, such as Business Administration, Operations Management, Data Science, Economics, or related disciplines.
- Has 1-2 years of professional work experience, ideally in business operations, people operations, or data analysis.
- Is fluent in English, both written and verbal.
- Has a proven interest in data, with a strong analytical mindset. You should enjoy working with numbers and using data to guide decisions and improve processes.
- Is highly proficient in Excel, with the ability to manage data sets, create reports, and analyze trends.
- Has a genuine interest in AI and technology. Bonus points if you have experience working with AI, building AI agents, or creating automations that improve operational processes.
- Is based in Poland and wants to work remotely. This is a remote-first role and we are looking for candidates comfortable with remote work and the flexibility it offers.
We know this is a broad role with a lot of responsibility, and we don’t expect you to have all the answers from day one. But if you’re the kind of person who gets energy from building, solving, and figuring things out as you go, and who knows how to be pragmatic when things move faster than you’d maybe like, then we would love to speak to you.
